To assist the Site Director on all levels in the day-to-day administration of his/her role. In addition, to provide administrative support to other members of the Senior Leadership Team (SLT) as and when required.
To take overall responsibility for managing efficient administrative services for the Site Director and members of the Site Leadership team
To screen and prioritise incoming correspondence (emails, post and telephone calls) and take appropriate action.
To provide a variety of well-presented, accurately typed documents including general correspondence and reports.
Prepare presentational slides in a professional format using appropriate software packages e.g., PowerPoint / Visio / Project / Windows / SharePoint
To assist with research assignment and the collation of information for reports.
To maintain diaries, organise and co-ordinate preparations for workshops and meetings on site, offsite meetings, arrange appointments, undertake travel arrangements
To develop, implement and maintain filling systems, records, archiving and databases as required.
To be responsible for minuting relevant meetings, producing draft, minutes for review and to help progress outstanding actions.
To expedite purchase orders / receipting administration tasks on ERP system for designated area
Coordinate the creation and distribution of site communication materials, site news and newsletters
Sorting of daily incoming mail into department pigeon holes within our main reception area
Organise travel/accommodation bookings for all the Site Director and all SLT members
Create purchase orders in E1, process invoices, process expenses on behalf of the team
The ideal candidate will have:
Demonstrable experience as PA at senior level
Ideally experience gained within a manufacturing environment
Ability to build positive working relationships from the start
Educated to “A” level standard minimum
Typing speed minimum 60 wpm
Proficient in Microsoft office, Word, Excel, Access, PowerPoint, Visio and SharePoint
Confident with the use and application of spreadsheets (Excel)
Excellent organisational skills
Excellent communication skills
